Automatic Communication

A important configuration component for this type of communication is "Frequency," a setting that defines when and how often the message is sent.

Note: Automatic communications cannot be triggered manually; they are dispatched only by the system based on their frequency settings.

  • Daily: The communication is sent every day at a specified time.

  • Weekly:The communication is sent each week at a specified time, on one or more selected days (e.g., every Monday and Friday).

  • Monthly: The communication is sent each month at a specified time on a particular day of the mont.

  • Immediate: This option configures the communication to be sent instantly when a specific condition is met, rather than on a time-based schedule.

How to create An Automatic communication

To create a communication, navigate to the 'Automatic Communications' link within the relevant activity. The following screen will be displayed:

To create a new one, select the Create option located in the RELATED TASKS section on the right side of the screen, The following screen will be displayed:

1. Main Configuration

  • Name: A required text field for entering a descriptive name.

  • Channel: The channel through which the communication will be sent (e.g., Email).

  • With minimum email validation level: A dropdown menu to set the minimum required validation level for an email address to be included in the communication.

  • With minimum party identity validation level: A dropdown menu to set the minimum required validation level for a participant's identity to be included.

2. Execution Rules

  • Maximum Quantity: A field to set the maximum number of times this communication can be sent to a single applicable person.

  • Unlimited: A checkbox that, when selected, removes the maximum quantity limit, allowing the communication to be sent an unlimited number of times.

  • Run from date: The date and time when the system will start evaluating the conditions to send this communication.

  • Run until date: The date and time when the system will stop sending this communication. No communications will be sent after this time.

  • Frequency: Defines the schedule on which the communication is sent (e.g., Daily, Weekly, Immediate).

3. Status and Content

  • Active: A checkbox to enable or disable the communication. An inactive communication will not be sent.

  • Status: A read-only field showing the current configuration state of the communication.

  • Description 1 / Description 2 / Description 3: Text fields for internal notes or descriptions related to the communication.

4. Advanced Options

  • Add Source info: A checkbox to include additional source or tracking information within the communication's data.

  • Set as transactional: A checkbox to mark the communication as transactional.

5. Dynamic Sender Configuration

  • Change the Communication Sender by Field State: An advanced feature that allows the sender's information to be dynamically changed based on the value of a specific data field.

Communication Settings by Frequency Type

Frequency immediate

When the Frequency is set to 'Immediate', the system enables trigger-based configurations. This allows the communication to be sent instantly in response to a specific user action, rather than on a time-based schedule:

1. Interaction Trigger

  • Interaction type: A required dropdown menu to select the user action (interaction) that will cause the communication to be sent.

Once an interaction type is selected, the following section for restricting the trigger becomes available.

2. Trigger Restriction

  • Restrict by Activity Touchpoints: Restrict by Activity Touchpoints: A checkbox that, when selected, limits the interaction trigger to activities by touchpoints.

  • Interaction by tag:A set of fields for defining specific interaction parameters. This typically involves selecting an attribute, an operator (e.g., "contains"), and its corresponding value. Multiple conditions can be added and linked using a selectable "AND"/"OR" operator.

Frequency Daily

When the Frequency is set to 'Daily', the system is configured to send the communication every day at a specific time.

1. Daily Schedule Configuration

  • Hour: A field to set the specific time of day (hour and minute) at which the communication will be sent each day.

Frequency Weekly

When the Frequency is set to 'Weekly', the system is configured to send the communication on specific days of the week at a designated time.

1. Weekly Schedule Configuration

  • Days of the Week A set of checkboxes to select one or more days of the week on which the communication will be sent.

  • Hour: A field to set the specific time of day (hour and minute) at which the communication will be sent on the selected days.

Frequency Monthly

When the Frequency is set to 'Monthly', the system is configured to send the communication on a specific day of each month at a designated time.

1. Monthly Schedule Configuration

  • Day: A field to specify the day of the month (e.g., 1, 15, 31) on which the communication will be sent.

  • Hour: A field to set the specific time of day (hour and minute) at which the communication will be sent on the selected day of the month.
